Gaylord Texan Resort Cancellation Policy:

FAQs

What if the hotel is sold out?
If the hotel is sold out when you try to make your reservation, as travel plans change for other attendees, rooms at the host hotel may become available.  In this situation, we encourage you to check back with Gaylord Texan regularly to see if any rooms have opened up.

What airport is recommended?
Gaylord Texan Resort is located in Grapevine which is 5 miles from the Dallas/Fort Worth International Airport.

Does the hotel offer complimentary Airport Shuttle?
Gaylord Texan Resort does not offer a complimentary airport shuttle.

Does the resort offer on-site parking?
On-site self-parking is available at $25 plus tax per day.  Valet parking is available at $45 plus tax per day.  Prices are subject to change.

Why should I book at the ACLM host hotel when I can find a lower rate on my own?
Negotiated hotel rates incorporate many benefits for you and ACLM. In order to secure meeting room space at a hotel, ACLM must sign a contract with the host hotel that guarantees that a specified number of hotel rooms will be booked by our attendees. The number of rooms guaranteed is called the room block. As the number of rooms in the room block increases, costs to ACLM decrease, which we are able to pass along to our conference attendees in the form of lower registration prices.

If attendees stay in the host hotel, ACLM will fulfill its contractual obligation with the hotel. If attendees stay in other hotels, ACLM faces the possibility that its room block will not be met, forcing it to pay severe penalties, which can run into tens of thousands of dollars. We ask that you please consider staying at the host hotel.

What other benefits are there to reserving a room at ACLM host hotel?
When you factor in cab fares, car rental, and the time associated with travel to alternate hotels, you may not benefit as much financially as you had planned. By staying at one of the host hotels, you gain the opportunity to further network with your industry peers and remain in the center of the activity surrounding the conference.

What if ACLM doesn’t contract for sleeping rooms?
Attendees would pay a higher rate stay at the conference hotel. The conference would incur additional expenses for meeting room rental fees, which can be quite costly. The hotel will not hold a block of rooms for attendees, which may leave some people quite a distance from the conference venue. In short, the conference ends up with higher expenses, many of those attending will pay a higher price for their hotel rooms, future conference registration fees will be pushed higher.
